Missing bookkeeping documents: polite email reminder templates
Use three practical reminder drafts that name what is missing, acknowledge what arrived and give the client a clear next step.
Make each reminder smaller than the original request
A client who has provided four of five documents should receive a request for the remaining document. Repeating the original list makes it hard to know whether earlier submissions reached you. Before drafting a reminder, check the current record and any recent replies, then remove items that no longer need the client's attention.
The sequence below is a suggested manual process. Choose intervals with the client and adjust for weekends, holidays and genuine delivery problems. CloseChase prepares drafts; a person reviews and sends them through their chosen channel. A draft being opened or copied does not mean a message was sent or received.
First request: explain the period and destination
Subject: October bookkeeping documents — requested by 6 November
Hi Mira, we are preparing your October bookkeeping. Please add the operating-account statement and October business-card statement to our usual folder by 6 November: [folder link]. We already have the sales report, so there is no need to send it again. If either statement is not available yet, please tell us when you expect it. Thank you, [name].
Replace every bracketed field and check the month before sending. Use the destination agreed with the client. If you change folders, explain that change directly rather than introducing an unfamiliar upload link without context. Keep the subject consistent so the client can find the conversation later.
Follow-up: acknowledge progress and name the remaining item
Subject: October bookkeeping — one statement still outstanding
Hi Mira, thank you for sending the operating-account statement. The October business-card statement is the only item still outstanding on our request list. Please add it to [folder link], or let us know if someone else should receive this request. If you already sent it, a filename or the location is enough for us to check. Thank you, [name].
That last sentence gives the client a useful way to resolve a mismatch without resending everything. If your team finds the file, correct the status and acknowledge the error. Avoid telling the client they are late when the real issue is a missed attachment or a folder access problem.
When timing matters: ask for a plan
Subject: October bookkeeping — please confirm a delivery date
Hi Mira, we still need the October business-card statement before our reviewer can finish the planned work. Could you confirm by [date] when it will be available? If access is the problem, tell us what is blocking you and we can agree the next step. We will update our work schedule once we have your reply. Thank you, [name].
Only mention a work deadline or consequence that the firm has actually agreed. Do not add threats, fees or statutory deadlines to make a routine reminder sound urgent. If the client explains that a document cannot be obtained, move the issue to the reviewer rather than sending the same reminder again.
Keep a simple contact record
Record the channel, actual send date, outstanding items and any promised delivery date. Pause further follow-ups while an agreed response date is still ahead. For a short message, use: ‘Hi Mira — a quick October bookkeeping check: we still need the business-card statement. Could you add it to our usual folder, or let me know when it is available? Thanks.’
Content Snare's reminder documentation distinguishes schedules from reusable message templates. The same distinction is useful in a manual workflow: decide when contact is appropriate separately from the wording you reuse. Review both before each send.
